ARTICLE 11: Information Management and Communication Procedures
Section 11.1
General Information is classified as a major asset of the organization and should
be subject to the same control and safeguards afforded to other assets of the
organization.
Section 11.2 Personal information of members.
Personal information of members should be collected and kept in accordance with
the relevant privacy standards and should not be used by any member for the purposes
of solicitation for business and any other forms of commercial ventures.
Section 11.3 Access to information
It is recognized that the internet will play a
significant role in the daily operations of the organization. In order to preserve
the history of the organization a copy of all e-mail messages, both incoming and outgoing,
should be preserved and should be available for inspection by any member of the organization.
The messages will be archived for a period of seven (7) years.
Any and all members have a right to access the minutes of the directors meetings, committees and
all other forms of information included in the associations records.
Section 11.4 Release of information to the public.
All information released to the public should be approved by the majority of the members of the
then serving board of Governors. These information release include:
. press releases
. newsletters
. information bulletins
. interviews
. web site posting
. e-mail
